TSM Assistants is an AI-powered assistant in development for real estate agents. This policy explains what information our public website handles today, what the service is being designed to handle as features become available, how that information will be used and protected, and the choices you have.

Pre-launch draft. TSM Assistants is not yet generally available, and this document has not yet been reviewed by an attorney. It will be updated before the service accepts customer data.

01About this policy

This Privacy Policy describes how TSM Assistants ("TSM Assistants," "we," "us," or "our") collects, uses, shares, and protects information in connection with our public website and the TSM Assistants service (together, the "Service").

The Service is intended for real estate agents, teams, and brokerages ("customers"). Customers may enter information about their own clients and other parties to a transaction. The section "Information customers enter about others" explains how that information is handled.

02Current status of the Service

TSM Assistants is under active development and is not yet generally available. Much of this policy describes how we intend to handle information once features launch. We distinguish below between what happens today and what is planned, and we will update this policy as features become available.

What happens today

  • Our public website is a set of informational pages. It does not offer account registration, sign-in, contact forms, or payments, and it does not collect information you type into it.
  • The public website does not use advertising cookies, tracking pixels, or third-party analytics.
  • The website is hosted by Netlify. As with most websites, our hosting provider automatically processes standard technical information (such as IP address, browser type, requested pages, and timestamps) to deliver the site and protect it from abuse.
  • If you email us at support@tsmassistants.com, we receive your email address and whatever you include in your message, and we use it to respond to you.
  • The AI assistant, customer accounts, document handling, and third-party integrations are not yet available, so we do not currently collect or process customer transaction data, documents, or AI prompts.

What is planned

The categories under "Information we collect" describe information the Service is being designed to process once accounts, the AI assistant, document handling, and integrations become available. We will not process customer data in those features until they are available to you, and we will update this policy before they launch.

03Information we collect

Account and contact information

Your name, email address, phone number, brokerage or company name, and similar details you provide when you contact us, request access, or create an account. Sign-in credentials will be handled by an authentication provider, and we will not store passwords in plain text.

Organization and team membership

The name of your organization, its members, their roles and permissions, and invitations sent within your organization.

Client, property, transaction, and contract information

Information you enter or import about contacts, clients, leads, properties, and transactions — for example names and contact details of buyers, sellers, and other parties; property addresses and details; prices, terms, dates, and contingencies; contract and form field values; and tasks, notes, and follow-ups.

Uploaded documents and files

Documents and files you upload to or generate in the Service, such as contracts, disclosures, addenda, and supporting files, and the information contained in them.

AI prompts, responses, and related activity

Instructions and questions you give the AI assistant, the information it extracts or proposes, its responses, and your decisions to approve, edit, or reject proposed actions.

Connected third-party platforms and integrations

If integrations become available and you choose to connect a third-party service — for example a transaction-management platform such as Dotloop, or an email or calendar service — we will receive the information that service makes available under the permissions you grant. No integrations are available today. Any integration with a third-party platform depends on that platform's authorization, and we are not affiliated with or endorsed by any such platform.

Authentication tokens and integration credentials

Session cookies needed to keep you signed in, and access or refresh tokens issued by services you connect. We intend to store integration tokens only on our servers, never expose them to your browser, and use them only to perform actions you have authorized.

Technical logs, analytics, and diagnostics

Server, security, and error logs (such as IP address, device and browser information, and timestamps), and an activity log of actions taken in your organization's workspace, including actions proposed by the AI assistant and who approved them. We do not currently use third-party analytics; if we add analytics or diagnostic tools that collect personal information, we will update this policy first.

04How we use information

  • To provide, operate, and maintain the Service, including organizing transaction information and helping prepare documents and contracts at your direction.
  • To process your instructions with AI features, including identifying missing or conflicting information before documents are prepared.
  • To perform actions you approve, including actions in third-party services you have connected.
  • To secure the Service, prevent abuse, keep audit records, and troubleshoot problems.
  • To respond to your inquiries and communicate with you about your account, early access, support requests, and changes to the Service or this policy.
  • To improve the Service, using information in a manner consistent with this policy.
  • To comply with legal obligations and enforce our Terms of Use.

We do not sell personal information.

05AI processing

AI features are not yet available, and no customer information is currently sent to any AI provider.

When AI features launch, the content needed to complete your request — such as your instructions and relevant transaction, contact, or document information — will be sent to third-party AI model providers for processing. Those providers process data under their own terms and our agreements with them, and whether a provider retains submitted data, for how long, and whether it may be used to train models depends on that provider and agreement. Before AI features become available, we will identify the providers we use in this policy and describe how each handles submitted data.

AI output can be inaccurate or incomplete. The Service is being designed so that consequential actions require review and approval by a person in your organization before they are carried out.

06How information is shared

  • Service providers that host, store, secure, or help operate the Service — for example website hosting (currently Netlify), database and file storage, authentication, email delivery, and AI model providers — acting on our behalf and under obligations to protect the information.
  • Members of your organization, according to the roles and permissions your organization configures.
  • Third-party services you choose to connect, when you direct the Service to send information to them.
  • Authorities or other parties when we believe disclosure is required by law, or necessary to protect the rights, property, or safety of our users, the public, or us.
  • A successor in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.

Before the Service begins accepting customer data, we will publish in this policy a list of the specific service providers that will process it.

07Data storage and security

We are designing the Service with security controls appropriate to transaction data. Planned controls include:

  • Separation of each organization's data, enforced at the database level rather than only in the user interface.
  • Role-based access within an organization.
  • Credentials and access tokens for connected services kept on the server side and never exposed to the browser.
  • Activity logging, and human approval for consequential actions proposed by the AI assistant.

These controls are being built along with the Service. They are not yet fully implemented or independently tested, and we will update this section as they are completed. We have not obtained independent security certifications or audits. No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.

08Retention and deletion

We keep emails and inquiries you send us for as long as needed to respond and follow up, and then for as long as reasonably necessary for our records.

Once the Service launches, we will keep account and customer data for as long as the account is active and as needed to provide the Service, and then for as long as necessary to meet legal, accounting, or record-keeping obligations, resolve disputes, and enforce our agreements. Organization administrators will be able to delete records within the Service. When an organization's account is closed, we will delete or de-identify its data within a reasonable period, except where we are required to keep it, and copies in backups will be removed as those backups expire. We will publish specific retention periods here before the Service begins accepting customer data.

Real estate records are often subject to retention requirements imposed by law or brokerage policy. Customers are responsible for keeping their own copies of records they are required to retain.

09Information customers enter about others

When a customer enters information about their clients or other parties, we will process that information on the customer's behalf and under the customer's instructions. Customers are responsible for having the right to provide that information to us.

If you are a client of one of our customers and have a question about your information, please contact the agent or brokerage you work with. We will assist them in responding to your request where required, and you may also contact us at support@tsmassistants.com.

10Your privacy rights and choices

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you and receive a copy of it.
  • Correct inaccurate personal information.
  • Delete your personal information.
  • Object to or restrict certain processing, or withdraw consent where processing is based on consent.
  • Not be discriminated against for exercising these rights.

To make a request, email us at support@tsmassistants.com. We may need to verify your identity before responding. You may also have the right to lodge a complaint with your local data-protection authority.

11Cookies

The public website does not currently set cookies for advertising or analytics. When sign-in becomes available, the Service will use cookies that are strictly necessary to keep you signed in and to protect your session.

12Children

The Service is intended for professionals and is not directed to individuals under 18. We do not knowingly collect personal information from children.

13International processing

Information may be processed in the United States or in other countries where we or our service providers operate. Those countries may have data-protection laws that differ from the laws where you live.

14Changes to this policy

We will update this policy as the Service develops, including before new features that process customer data become available. When we make material changes, we will update the dates at the top of this page and, where appropriate, notify affected users before the changes take effect.
